    What Do PhD Examiners Actually Write in Their Reports? The Research (2026)

    Writing attracts wide but shallow comment in examiner reports: around 73 per cent of examiners raise it at least once, and it accounts for roughly an eighth of the average report, against 43 per cent for analysis and reporting. That is the shape of the thing you are being judged on — and the studies that establish it are Australian, because no equivalent open UK content analysis exists.

    What the report is actually made of

    The most detailed published content analysis of doctoral examiner reports covers 101 candidates and 303 examiners. Its distribution of attention is the single most useful thing a candidate can know before submitting.

    In the authors’ own words: “73 per cent of examiners mentioned substantial issues of communicative competence at least once, while 50 per cent identified specific corrections”, and “On average in this study they devoted 5 per cent of text units or lines to substantial issues of communicative competence (351), but 8 per cent to editorial matters (typographical, basic mechanical, clerical or technical errors).”

    Read that table carefully, because it cuts both ways. Writing is not what your report will mostly be about — analysis and reporting takes ten times the space. But writing is what almost every examiner will mention, and more of the writing commentary is spent on typos than on expression.

    An earlier study quoted in the same paper puts the ubiquity more strongly still: Johnston “found that ‘almost without exception examiners commented on the writing and presentation’.” Hansford and Maxwell recorded the specific frequencies — “typographical and spelling errors to be noted by examiners in 42 per cent of theses, both writing style and format and presentation each to be noted in 22 per cent, grammatical and spelling errors in 17 per cent”.

    A necessary caveat about where this data comes from

    The three content-analysis studies above — Holbrook and colleagues, Mullins and Kiley, and Dally and colleagues — are all Australian. We searched for an openly available UK equivalent and did not find one. Several relevant UK and international papers are behind paywalls we could not open, and we have not quoted anything we could not read.

    So treat the percentages as evidence about doctoral examination in a closely comparable system, not as UK figures. What is UK evidence, and appears below, is the published criteria that UK examiners are formally asked to apply — from Newcastle, Warwick and Reading. Those are directly authoritative for a UK candidate; the Australian percentages tell you how examiners behave in practice, which no UK institution publishes.

    Why a typo costs more than a typo

    The most consequential finding in this literature is not about proportions. It is about inference.

    Mullins and Kiley report that “One of the most common descriptors of a poor thesis, across all disciplines, was ‘sloppiness’”, and then explain why examiners care so much: “The concern with sloppiness was that examiners considered it was an indicator that the research itself might not be rigorous and the results and conclusions could not be trusted.” One examiner put the mechanism plainly: “If there are mistakes in calculations then that starts one thinking. If you find something suspicious in a thesis then you start to read it differently.”

    Another described the effect on their own reading, and this is worth reading twice because it is an examiner describing a bias they know they have:

    “I give my students strong advice on how not to ‘flip’ an examiner from ‘reasonable’ to ‘unreasonable’ by having irritating things in the thesis such as typos and other careless textual mistakes that indicate lack of attention to detail. Once flipped (and I am aware of this happening), I am irritated and I have to work very hard at overcoming this irritation and not letting it influence my view of the thesis, although this is not easy.”

    That is the real return on a proofreading pass. Not the marks attached to the errors, but the reading posture the errors produce.

    Overclaiming: the criticism that recurs across every study

    Where examiners do engage substantively with your prose, one fault comes up repeatedly. Mullins and Kiley, summarising Hansford and Maxwell, report that examiners focused on “format and presentation, the literature review, the theoretical/philosophical framework of the thesis and the problem of unsubstantiated and/or over-generalised conclusions.”

    UK examiner guidance encodes the same concern as a question examiners are told to ask. Reading’s good practice guide instructs examiners to consider whether “the discussion illuminate[s] the results, and do the stated conclusions follow from the results”. That is an overclaiming test, written into a UK examination document.

    The practical implication is a sentence-level discipline: every claim in your discussion should be traceable to a specific result, and any claim that is not should either acquire the evidence or lose the force.     Reading also reproduces a list of the characteristics of a poor thesis, drawn from Rowena Murray, whose final item is the most quietly devastating in the whole literature: “not being able to explain at the end of the thesis what has actually been argued in it.”

    What UK examiners are formally asked to apply

    This is the UK half of the evidence, and it is published openly by the institutions concerned.

    Newcastle, in its handbook for examiners of research degrees, sets four criteria. Alongside authentic, scholarly and professional sits: “Well-structured, written, and presented — The thesis should demonstrate skill in writing and presenting research similar to scholarly work in their field. It should be clearly structured and orderly in arrangement, and well-written and presented.” Note the benchmark — scholarly work in your field, not general good English.

    Warwick states the requirement more tersely, and attaches a power to it: “The literary form must be satisfactory and the thesis should not be of unnecessary length. Examiners may require a candidate to confirm the length of the thesis.”

    Reading names four attributes: “contribution to knowledge / originality and creativity / integration and coherence / presentation and clarity”. Two of those four are properties of the writing rather than of the research.

    Set against the Australian percentages, this is the tension a candidate has to hold. Formally, presentation is one of four headline attributes. Behaviourally, it takes about an eighth of the report. Both are true, and the resolution is that clear writing is mostly invisible when it works — it earns no commentary and simply lets the analysis be assessed.

    How the report is produced, and what its length tells you

    Three procedural facts from UK guidance that most candidates never learn.

    • The reports are independent. Warwick: “The examiners should prepare independent reports, without consultation, before any oral examination or conferral with the other examiner has taken place.” Your internal and external examiner form their views separately, which is why they sometimes differ in the viva.
    • They are short. Reading: examiners “produce an independent report (typically around 1-2 pages)”, having been advised to “set aside at least two days to read the thesis and draft the pre-viva report.”
    • Length is itself a signal. Newcastle tells its examiners that if the criteria “have clearly been fully met, the report will normally be very brief. On the other hand, if Examiners have serious doubts or concerns about whether criteria have been met, a fuller account would be expected.” A long pre-viva report is not a compliment.

    The criteria you are given may not be the criteria applied

    One finding deserves separating out, because it changes how you should read any assessment guidance including your own institution’s. Mullins and Kiley found that examiners “had established their own criteria, and noted but did not use guidelines provided.” Dally and colleagues restate it: “even when examiners are provided with specific assessment criteria, they do not necessarily follow these when making judgements about thesis quality.”

    Dally and colleagues also record the substantive standard examiners tend to apply instead: “the thesis (or parts thereof) had to be suitable for publication and the literary presentation was expected to be clear, discernible, coherent, accurately and cogently written, concise and authoritative.”

    And the level of that standard is lower than doctoral anxiety assumes. The title of the Mullins and Kiley study is a direct quotation from an examiner: “A PhD is a stepping stone into a research career. All you need to do is to demonstrate your capacity for independent, critical thinking. That’s all you need to do. A PhD is three years of solid work, not a Nobel Prize.”

    What to do with this before you submit

    1. Proofread as a rigour signal, not as tidiness. The sloppiness finding means mechanical errors are read as evidence about your analysis. This is the cheapest defence available.
    2. Audit every conclusion against a specific result. Reading’s test — do the stated conclusions follow from the results — is the one you can run on yourself.
    3. Make it readable in two days. That is the reading time Reading advises, and navigability is what makes it achievable.
    4. Be able to state what the thesis argues, in one sentence. The inability to do so is the last item on the poor-thesis list.

    How to Write the Discussion Chapter of a PhD Thesis (with a Worked Example)

    The discussion is the chapter examiners read most carefully, because it is where the thesis stops reporting and starts arguing. Your results chapter established what you found. The discussion has to establish what it means, why it matters, and what the field should do differently now — and it has to do that without repeating your results or overclaiming beyond them.

    Most struggling discussion chapters fail in one of two directions. Either they restate the findings in slightly different words, producing a second results chapter with more hedging. Or they leap straight to grand claims the data cannot bear. What follows is a structure that avoids both.

    What the chapter has to achieve

    The QAA’s Characteristics Statement: Doctoral Degree sets out the standard the whole thesis is working towards: all UK doctorates require the main focus of the candidate’s work to demonstrate an original contribution to knowledge in their subject, field or profession, through original research or the original application of existing knowledge or understanding.

    Your discussion is where that contribution becomes explicit. Everything before it is evidence. This chapter is the argument the evidence supports.

    The seven moves

    Move 1: Restate the contribution in one paragraph

    Open by answering your research questions directly. Not the methods, not the caveats — the answers. Examiners should be able to read your first paragraph and know what the thesis claims.

    A worked example:

    This thesis set out to establish whether X mediates the relationship between Y and Z in [context], and, if so, under what conditions. It found that X accounts for a substantial proportion of that relationship in [setting A] but not in [setting B], and that the difference is attributable to [mechanism]. The contribution is twofold: it identifies a boundary condition on a relationship that the existing literature has treated as general, and it provides the first evidence from [context], which prior work has not examined.

    That is roughly a hundred words and it does more work than most opening pages. Note the structure: what you asked, what you found, what is new about it.

    Move 2: Interpret each key finding against the literature

    Take your findings one at a time. For each, do three things: state it plainly, place it against what the literature predicted, and account for the relationship between the two.

    The account is the part that carries credit. If your finding agrees with prior work, say what it adds — replication in a new context, greater precision, a mechanism the earlier work inferred but did not test. Agreement is not automatically a contribution; you have to say why yours is not merely another instance.

    If your finding disagrees, this is your most valuable material, and it needs to be handled with care rather than triumph. Work through the candidate explanations in order: differences in sample or context, differences in measurement, differences in analytical approach, and only then a substantive theoretical difference. Examiners are impressed by candidates who consider that the discrepancy might be methodological before concluding that the field was wrong.

    Move 3: Build the findings into a single argument

    This is the move most commonly missed. A discussion organised strictly finding-by-finding reads as a list. Somewhere in the chapter, the separate results have to be brought together into a claim that none of them makes alone.

    Ask yourself: what does the whole thesis say that no individual chapter says? That sentence is your thesis in the older sense of the word, and it belongs here explicitly.

    Move 4: State the theoretical contribution precisely

    Vague contribution claims are the most common weakness in doctoral discussion chapters. “This study contributes to the literature on X” says nothing.

    Be specific about the form the contribution takes. Useful shapes include: extending a theory to a population or setting where it had not been tested; identifying a boundary condition where a relationship does not hold; reconciling two literatures that disagreed; supplying a mechanism where prior work established only an association; or developing a construct or instrument that did not previously exist.

    Name which one you are claiming. A precise, modest contribution is far stronger than a sweeping vague one, and it is much easier to defend under examination.

    Move 5: Draw out practical or policy implications, carefully

    If your work has applied implications, state them — but keep them proportionate to your evidence. The standard failure is a cross-sectional study that ends with confident recommendations for practice.

    The discipline here is simple: for each implication, be able to point at the specific finding that licenses it. If you cannot, it is speculation, and it should be labelled as a direction for future work rather than a recommendation.

    Move 6: Write limitations that strengthen the thesis

    Counter-intuitively, this section can add to your credibility rather than subtract from it. Examiners will find the limitations regardless. The question is whether you found them first.

    Write each limitation in three parts: what the constraint was, what effect it plausibly had on your findings, and what you did or would do to mitigate it. A limitation stated without its consequence is not analysis — it is a disclaimer.

    Compare these. “The sample was drawn from a single institution, which is a limitation.” Versus: “The sample was drawn from a single institution, which means the findings may reflect features of that institutional context — in particular its unusually high staff-to-researcher ratio — rather than the sector generally. The direction of any resulting bias would be to overstate the effect of supervisory contact, so the estimate reported here should be treated as an upper bound.”

    The second demonstrates command of your own study. Avoid, though, the opposite failure of listing every conceivable weakness until the thesis appears to establish nothing. Three or four substantive limitations, properly analysed, are worth more than a dozen perfunctory ones.

    Move 7: Point forward with specific future work

    “Further research is needed” is filler. Specify the study you would run next, and say what it would resolve that yours could not. If your work generated a hypothesis you could not test, name it. Examiners frequently ask what you would do with another three years, and a discussion that has already answered puts you ahead.

    The four questions examiners bring to this chapter

    1. What is new here? Answerable in one sentence, or the contribution is not clear enough.
    2. Do the data actually support this claim? Every claim traceable to a specific result.
    3. Have they engaged with work that disagrees? A discussion citing only supportive literature reads as selective.
    4. Do they know the weaknesses of their own study? Answered by the quality of the limitations section.

    How long, and how much overlap with the conclusion?

    Length varies by discipline and by whether your thesis has a separate concluding chapter. Where the two are separate, the working division is that the discussion interprets findings against the literature, while the conclusion states the contribution, the implications and the closing argument without introducing new interpretation.

    Where they are combined, the seven moves above still apply in the same order. Check your institution’s research degree regulations and, more usefully, read two or three recent successful theses from your own department — local convention varies more than published advice suggests, and your examiners are likely to share it.

    A practical drafting order

    Do not write this chapter front to back on the first pass. Draft Move 2 first, finding by finding, because it is the most concrete. Then write Move 4, since the contribution usually becomes clear only once you have interpreted everything. Then Move 3, which depends on both. Write Move 1 last, when you finally know what the chapter argues.

    Frequently asked questions

    Should the discussion repeat the numbers from my results chapter?

    Refer to findings, but do not re-report them in full. Give enough for the reader to follow the argument — the direction of an effect and its approximate magnitude — and cross-reference the results chapter for the detail. Full tables repeated here signal that the chapter is describing rather than interpreting.

    Can I introduce new literature in the discussion?

    Yes, and it is often necessary. Findings you did not anticipate require literature you did not review at the outset. What you should not do is introduce a body of work so central that its absence from your literature review looks like an oversight.

    How do I discuss a null result?

    Directly, and with attention to power. Distinguish between evidence of absence and absence of evidence, report the precision of your estimate, and consider methodological explanations alongside theoretical ones. A well-analysed null result is a legitimate doctoral contribution, particularly where the effect was widely assumed.

    Is it acceptable to say my findings contradict a well-known study?

    Yes, provided you work through the alternative explanations first and you are specific about what differs between the two studies. Examiners respect a candidate who can say clearly why two studies diverge; they are wary of one who dismisses established work without accounting for it.

    How many limitations should I include?

    Three or four substantive ones, each with its consequence analysed. Quantity is not the measure — a short section that shows you understand how your design shapes your conclusions beats a long list of generic caveats.

    Should the discussion chapter be written before or after the introduction?

    After. The introduction has to promise what the thesis delivers, and you cannot know precisely what that is until the discussion is drafted. Writing the introduction first is the most common cause of a mismatch between what a thesis claims at the start and what it demonstrates at the end.
